All six deliverables were written to `Business Plan/07-Customer-Marketing-Community/`.

## Assumptions

- Used the loyalty program name `Haven Rewards` because no alternative program name was specified in the Brand Style Guide, Marketing Plan, Business Plan, KPI framework, SOP-005, SOP-011, or Data Security Policy.
- Used the loyalty structure stated in the brief because no prior deliverable overrode it:
  - points earning rate: `1 point per $1 spent`
  - redemption threshold: `100 points = $5 reward`
  - point expiration: `12 months of account inactivity`
- Set `Loyalty-Program-Terms.docx` effective date to `May 25, 2026` so the terms are in place for the soft opening loyalty enrollment called for in the Community/Events Plan brief.
- Set `Customer-Privacy-Policy.docx`, `Return-Exchange-Policy.docx`, and `Website-Terms-of-Use.docx` effective date to `June 1, 2026` to align with launch-day customer-facing operations and, for returns, the June 1, 2026 effective date in SOP-005.
- Set `Social-Media-Guidelines.docx` effective date to `March 15, 2026` to align with the buildout start and the March 2026 social launch window required by the Community/Events Plan brief.
- SOP-005 does not address online order returns. For the customer-facing return policy, I assumed eligible online orders follow the same 30-day and condition standards and may be returned in-store or by mail after the customer contacts `[email protected]`.
- For `Website-Terms-of-Use.docx`, I treated launch shipping scope as the contiguous United States only, because that scope appears in the run brief and no broader shipping policy was present in the permitted prior deliverables.
- For the Community/Events Plan, I interpreted the Marketing Plan's broader launch-campaign start date of `February 24, 2026` as the teaser phase, while treating `March 15, 2026` through `May 25, 2026` as the active pre-opening community campaign window tied to buildout and soft-opening execution.
- To make the Community/Events Plan actionable where the source set provided framework but not operating detail, I used the following planning assumptions:
  - initial partner outreach begins by `March 20, 2026`
  - early collaborator outreach targets `10-15` Austin-area cosplayers or fandom creators
  - email list performance is checked weekly during pre-opening, with paid support increased if the list trails target by more than `10%`
  - the grand opening bundle threshold is `$75`
  - trading card nights are framed as a weekly Thursday evening series with a four-week game rotation
  - manga club is framed as a monthly beginner-friendly discussion format

## Coherence Notes

- No conflicts were found between `trail/meta/files/Otaku_Haven_Reference_Data.md` and the permitted prior deliverables on legal name, address, ownership, key dates, store hours, technology stack, or social handles.
- The Customer Privacy Policy limits named third-party service providers to `Square`, `Xero`, and `Gusto` to match the run brief and acceptance criteria.
- The Return/Exchange Policy was aligned to SOP-005 on:
  - the standard `30-day` return window
  - proof-of-purchase rules
  - resalable-condition requirements
  - non-returnable categories
  - refund-method rules
  - exchange handling
  - defect handling and post-30-day escalation
- No discrepancy was found between the return-policy brief and SOP-005 on the core return rules above.
- SOP-005 is silent on online order returns; that gap was handled as a documented assumption rather than treated as a contradiction.
