## Product Context
Otaku Haven LLC is a Texas LLC operating a retail anime store at 2847 S Lamar Blvd, Suite 105, Austin, TX 78704. Target opening: June 1, 2026. The store carries 8 product categories: Figures & Statues, Manga & Light Novels, Apparel, Accessories, Home & Lifestyle, Trading Cards, Media, and Consignment/Local Creator items. Payroll/HRIS is Gusto. POS is Square for Retail. Entity owners: James Whitfield (40%, Managing Member) and Kelli Nakamura (35%, Member). Total staff: 8 employees.
---
## Execution Order
Complete tasks in the order listed. TASK-001 through TASK-009 are production tasks (largely independent of each other but all require the reference data as input). TASK-001 additionally requires reading three prior deliverables before beginning — see task inputs. TASK-010 requires all nine production tasks to be complete. Populate `results.md` continuously as you work.
---
## TASK-001 — Employee Handbook
**ID:** TASK-001
**Description:** Produce a complete Texas-compliant Employee Handbook for Otaku Haven LLC as a single .docx document. The handbook is the primary HR policy document for the store. It must open with a welcome section, contain a table of contents, and include all 8 required policy sections. All policies must comply with Texas employment law and reflect the specific operations, systems, and culture of Otaku Haven — this must not read as generic boilerplate.
**Inputs:**
- `trail/meta/files/Otaku_Haven_Reference_Data.md`
- `Business Plan/01-Formation-and-Brand/Operating-Agreement.docx` — read to confirm entity structure, formation date, and ownership for any management references
- `Business Plan/02-Strategic/Financial-Model.xlsx` — read to confirm payroll assumptions and any benefits references (the handbook must not promise benefits not reflected in the model)
- `Business Plan/02-Strategic/Business-Plan.docx` — read to confirm the operations section's staffing model references are consistent
**Output:** `Business Plan/03-HR/Employee-Handbook.docx`
**Required Document Structure:**
1. **Opening Section** (before the table of contents):
- Welcome message: from the managing members, welcoming the new employee to Otaku Haven; references the store's mission as a curated anime retail community space; brief and genuine in tone
- Company Overview: legal name Otaku Haven LLC (DBA: Otaku Haven), store address (2847 S Lamar Blvd, Suite 105, Austin, TX 78704), target opening date (June 1, 2026), brief store concept (curated anime retail, Austin community focus)
- Employment-at-Will Notice: prominent statement that employment is at-will, either party may terminate at any time with or without cause or notice, this handbook does not constitute an employment contract
2. **Table of Contents** listing all 8 policy sections
3. **Section 1 — Employment-at-Will Statement** (stand-alone section for emphasis following the ToC):
- Restate the at-will employment relationship explicitly under Texas law
- Clarify that nothing in this handbook — no policy, procedure, or verbal representation — creates an implied employment contract
- Note that the Managing Member may revise handbook policies at any time
4. **Section 2 — Timekeeping and Attendance Policy:**
- Gusto is the timekeeping system; all employees must clock in and out via Gusto for every shift
- Employees are responsible for ensuring their time is accurately recorded; errors must be reported to a manager before the end of the pay period
- Failure to clock in/out (missed punch) must be reported to the Store Manager or Assistant Manager immediately and corrected in Gusto
- FLSA overtime: non-exempt employees are eligible for overtime pay (1.5× regular hourly rate) for all hours worked over 40 in a workweek; overtime must be pre-approved by the Store Manager
- Store Manager is an exempt/salaried employee and is not eligible for overtime pay
- Payroll is processed biweekly
- Attendance expectations: employees are expected to arrive on time and ready to work; tardiness and unscheduled absences must be reported to a manager as early as possible and no less than 2 hours before the start of a shift; a pattern of tardiness or unexcused absence is subject to disciplinary action
- Break policy (voluntary best practice — not legally required): Otaku Haven provides a 15-minute paid break for shifts of 4 or more hours and a 30-minute unpaid meal break for shifts of 6 or more hours; Texas law does not require these breaks for adult employees
5. **Section 3 — Scheduling Policy and Procedure:**
- Schedules are published in Gusto at least 7 days in advance of the work week
- Store operating hours: Monday–Saturday 10:00 AM–9:00 PM, Sunday 11:00 AM–7:00 PM
- Holiday schedule: Otaku Haven is closed on Thanksgiving Day and Christmas Day; reduced hours on Christmas Eve and New Year's Day (hours posted in Gusto)
- Minimum staffing requirement: at least one manager-level employee (Store Manager, Assistant Manager, or Key Holder) must be present and on duty at all times during operating hours
- Time-off requests: submitted through Gusto; requests should be submitted at least 2 weeks in advance when possible; requests are subject to operational needs and manager approval; submission does not guarantee approval
- Shift swaps: permitted with manager approval; the originally scheduled employee remains responsible for coverage until the swap is confirmed by a manager in Gusto
- Schedule changes by management: Otaku Haven will provide at least 48 hours' notice of schedule changes except in the case of operational emergencies
6. **Section 4 — Technology and Social Media Use Policy:**
- POS system: Square for Retail is the authorized POS system; employees must complete training before operating the register unsupervised; unauthorized access to POS transaction records is prohibited; employees must not share POS credentials
- Website and e-commerce (OtakuHaven.store on Square Online): access is limited to authorized personnel as designated by the Store Manager
- Personal devices on the sales floor: personal mobile phones may not be used on the sales floor during active working hours; personal device use is permitted on approved breaks in the designated break area
- Photography/recording restrictions: employees must not use personal devices to photograph inventory, pricing, vendor invoices, business records, or any confidential business information
- Store networks: personal devices must not be connected to Otaku Haven store networks or IT systems without explicit authorization from the Store Manager
- Social media: employees may post about Otaku Haven on personal accounts; however, employees must not share proprietary pricing, unreleased product information, vendor names or terms, customer information, or any confidential business information on social media; employees must not post disparaging content about Otaku Haven, co-workers, or customers; when posting positively about the store, employees are encouraged to tag @OtakuHavenATX (Instagram, TikTok, X)
- Violations of this policy may result in disciplinary action up to and including immediate termination
7. **Section 5 — Code of Conduct and Anti-Harassment Policy:**
- Otaku Haven is committed to a workplace free from harassment, discrimination, and unprofessional conduct
- Zero-tolerance policy: harassment or discrimination on the basis of race, color, religion, sex (including pregnancy, childbirth, and related conditions), national origin, age (40 and over), disability, genetic information, veteran status, or any other characteristic protected by federal or Texas law is strictly prohibited
- Applicable law: Title VII of the Civil Rights Act, the Americans with Disabilities Act (ADA), the Age Discrimination in Employment Act (ADEA), the Pregnancy Discrimination Act, and applicable Texas employment law
- Prohibited conduct includes: unwelcome sexual advances, requests for sexual favors, verbal or physical conduct of a sexual nature, offensive jokes, slurs, stereotyping, intimidation, or any conduct that creates a hostile work environment
- Reporting: employees who experience or witness harassment or discrimination should report it immediately to the Store Manager; if the Store Manager is the subject of the complaint, report directly to Managing Member James Whitfield at Otaku Haven LLC
- No retaliation: employees who report harassment or discrimination in good faith will not be retaliated against; retaliation is itself a violation of this policy
- Investigation: Otaku Haven will investigate all reports promptly and as confidentially as possible; appropriate corrective action will be taken
8. **Section 6 — Workplace Violence and Safety Policy:**
- Otaku Haven is committed to maintaining a safe workplace free from violence, threats, and intimidation
- Prohibited conduct: threats of any kind, intimidating behavior, acts of physical violence, possession of weapons on store premises (subject to applicable Texas law), stalking, or any conduct that creates a reasonable fear of harm
- Reporting: employees must report any threatening behavior, incident, or concern to the Store Manager or Assistant Manager immediately; if there is immediate danger, call 911 first
- Emergency response: in any situation involving immediate physical threat, prioritize personal safety and call 911; do not confront the individual
- Post-incident: management will investigate all reported incidents and take appropriate action, which may include disciplinary action, law enforcement involvement, or both; employee assistance resources will be made available as needed
- Compliance: this policy is consistent with Texas workplace safety guidance and Austin, TX municipal requirements
9. **Section 7 — Confidentiality and Trade Secrets / IP Policy:**
- Confidential information: the following categories of information are confidential and must not be disclosed to any outside party: vendor names, pricing, and contract terms; customer data and loyalty program information; sales figures and financial results; gross margins and pricing strategies; business strategies and plans; any other non-public business information
- Obligation during employment: employees must not use or disclose confidential information except as required to perform their job duties
- Obligation after employment: the confidentiality obligation survives termination of employment; former employees must not use or disclose Otaku Haven's confidential information for any purpose
- Customer data protection: customer information collected through Square for Retail, Square Online, or any loyalty or marketing platform must be handled in accordance with applicable privacy laws; it must not be used or shared for any non-Otaku Haven purpose
- Personal gain prohibition: employees may not use confidential information for personal financial gain
- Intellectual property: any work product created by an employee in the course of their employment for Otaku Haven (marketing materials, product descriptions, systems, etc.) is the property of Otaku Haven LLC
10. **Section 8 — Discipline and Termination Procedure:**
- Otaku Haven uses a progressive discipline framework as a general guideline; the company reserves the right to deviate from this progression at its discretion, consistent with at-will employment
- Progressive discipline steps: (1) Verbal Warning (documented by manager), (2) Written Warning (employee receives copy, acknowledges receipt in writing), (3) Final Written Warning (employee receives copy, acknowledges receipt), (4) Termination
- Documentation: all disciplinary actions must be documented; the employee is asked to sign the documentation to acknowledge receipt; signature does not indicate agreement with the disciplinary action
- Immediate termination without prior steps: the following are examples of conduct that may result in immediate termination without prior warnings: theft or fraud, workplace violence or threats, harassment of customers or co-workers, reporting to work under the influence of alcohol or controlled substances, violation of the Confidentiality Policy, falsification of time records, or any other conduct determined to be gross misconduct at management's discretion
- At-will reaffirmation: this discipline policy is a general guideline and does not limit or modify the at-will employment relationship; Otaku Haven retains the right to terminate employment at any time, with or without cause or prior warning
- Final pay: per Texas law, employees who are discharged (terminated by the employer) will receive their final paycheck within 6 days of the termination date; employees who resign will receive their final paycheck on the next regular payday following separation

## TASK-009 — Anime Product Knowledge Guide
**ID:** TASK-009
**Description:** Produce the Anime Product Knowledge Guide for Otaku Haven LLC — an internal training reference document that helps new staff understand the store's product categories, key franchises, and how to serve customers effectively. This is NOT a corporate training manual. It should read like something an enthusiastic, knowledgeable store manager wrote to help new hires get up to speed fast. Practical, direct, and specific to Otaku Haven's actual inventory and customer base.
**Inputs:**
- `trail/meta/files/Otaku_Haven_Reference_Data.md`
**Output:** `Business Plan/03-HR/Anime-Product-Knowledge-Guide.docx`
**Required Content:**
**Introduction Section:**
- What this guide is and how to use it
- The goal: every Otaku Haven staff member should be able to hold a knowledgeable, helpful conversation with any customer — from someone buying their first Funko Pop to a longtime collector hunting for a limited-edition scale figure
- Brief note on tone: we're here to make fans feel welcome, not to test them
**Section 1 — Product Categories**
Produce one sub-section per category. For each category: describe what it is, who buys it, what staff need to know, and how to help customers. All 8 categories must be covered:
*1.1 Figures & Statues*
- What's in this category: action figures (poseable, often with accessories), scale figures (high-quality collector pieces — 1/4, 1/6, 1/7, 1/8 scale; the number refers to the figure's size relative to actual height), Nendoroids (chibi-style poseable figures by Good Smile Company — highly collectible), Funko Pops (stylized vinyl figures with wide franchise coverage)
- Key manufacturers: Good Smile Company, Max Factory, Kotobukiya, Bandai, Funko
- Who buys them: casual fans who want a figure of their favorite character; serious collectors pursuing scale figures and limited editions; people buying gifts
- How to help: ask what series or character they love before showing them anything; explain the quality and price-point differences between tiers (Funko vs. standard action figure vs. scale figure); know which items are limited vs. regularly restocked; encourage pre-orders for upcoming limited releases
*1.2 Manga & Light Novels*
- What's in this category: Manga are Japanese comics published in volumes (tankobon); read right-to-left; most series have multiple volumes, some ongoing for decades, some now complete; major English publishers are VIZ Media, Kodansha Comics USA, Yen Press; Light Novels are prose novels with illustrations — often the source material for popular anime (Re:Zero, Sword Art Online, That Time I Got Reincarnated as a Slime, Overlord)
- Who buys them: anime fans who want to "read ahead" of the anime; fans of a completed series who want the full story; completionist collectors
- How to help: ask what anime they've watched or are watching — there's almost certainly a manga adaptation; for new readers, recommend starting with Vol. 1 of a series they'll recognize; mention that many bestselling anime started as manga (Demon Slayer, Jujutsu Kaisen, Attack on Titan)
*1.3 Apparel*
- What's in this category: licensed t-shirts, hoodies, zip-ups, and cosplay accessories (not full costumes)
- Key notes: all apparel should be licensed product; staff should not assist in identifying or selling bootleg items; some imported items run small — check sizing charts
- Who buys them: fans wanting to rep their favorite series; people buying gifts; customers who attended a con and caught the spirit
- How to help: direct fans of specific franchises to the applicable apparel section; suggest gifting for upcoming releases or anniversaries of popular shows; apparel pairs well with accessories as a bundle
*1.4 Accessories*
- What's in this category: enamel pins, keychains, tote bags, messenger bags, phone cases, lanyards, and similar small items
- Why they matter: low price point, instant gratification, very easy add-on sale; appeals to casual fans and collectors alike
- How to help: suggest accessories as add-ons when completing a larger purchase — "Do you want a keychain or pin to go with that?" — especially when the franchise matches; tote bags and phone cases make excellent practical gifts
*1.5 Home & Lifestyle*
- What's in this category: posters, wall scrolls (fabric, rolled/boxed — meant to be displayed on walls), mugs, throw blankets, and home décor items
- Who buys them: fans decorating their rooms or spaces; parents or friends buying gifts for anime fans; Studio Ghibli fans (strong crossover with non-anime general public)
- How to help: know which franchises have wall scroll inventory; posters are impulse buys — placement near the register helps; Ghibli mugs and blankets are reliable gift items year-round
*1.6 Trading Cards*
- What's in this category: Otaku Haven carries three TCG lines:
- Pokémon TCG: the most broadly appealing; serves both casual collectors and competitive players; products include booster packs, theme/trainer decks, Elite Trainer Boxes, and special collections
- Yu-Gi-Oh!: dedicated competitive and nostalgic player base; product types include booster packs, structure decks, tins, and special editions
- Weiss Schwarz: an anime-specific TCG where each expansion set corresponds to a specific anime property (e.g., Sword Art Online, Demon Slayer, Hololive); niche but intensely loyal fanbase
- Handling value and grading: some individual cards (especially Pokémon and Yu-Gi-Oh!) can be worth significant amounts; do not open any sealed product that a customer brings in; if a customer asks about card values or grading, refer them to the Store Manager; grading services include PSA and Beckett
- How to help: for new customers, ask if they want to play or collect — the advice differs; Pokémon booster packs are always safe as a gift for any age; for competitive players, stay current on what's in the meta (Store Manager shares updates)
*1.7 Media*
- What's in this category: Blu-ray anime series sets (individual season sets and complete series), and vinyl soundtracks (primarily Studio Ghibli, with other anime and video game titles)
- Blu-ray notes: customers often want a specific season or the complete series of a show they've watched; know the difference between standard editions and collector's or limited editions (limited editions often include art books, art cards, or special packaging)
- Vinyl notes: a growing niche among anime fans and audiophiles; Studio Ghibli OSTs (Joe Hisaishi's scores) are consistently the best-sellers; the Spirited Away, Princess Mononoke, and My Neighbor Totoro soundtracks are perennial top items
- How to help: vinyl makes an excellent premium gift for the right customer; for Blu-ray, confirm the customer knows what seasons exist and which they already own
*1.8 Consignment / Local Creator Section*
- What it is: a curated section of original work by Austin-area artists and creators — fan art prints, handmade items, zines, and locally produced goods inspired by anime and pop culture
- Key distinction from licensed product: these are original creations; items that are direct reproductions of existing IP without transformative original content are not accepted; staff do not need to police this — the Store Manager reviews all new submissions before acceptance
- How to explain it to customers: "This section features original work by local Austin artists inspired by anime and pop culture — you won't find these anywhere else. It's one of the things that makes Otaku Haven different."
- How to explain it to interested creators: "We do work with local creators — talk to our Store Manager about our consignment program." Do not quote rates or terms; direct all inquiries to the Store Manager
- Important: do not accept new consignment submissions on behalf of the store. All new submissions must go through the Store Manager.
**Section 2 — Key Franchises to Know**
Produce a sub-section for each of the 10 franchises below. For each: briefly describe what it is, why it's popular at Otaku Haven, and what products typically sell well. Keep it practical — what a staff member needs to confidently assist a fan of this property.
*2.1 Dragon Ball / Dragon Ball Z / Dragon Ball Super*
Series by Akira Toriyama. One of the most recognized anime franchises globally, with a 35+ year history. DBZ introduced an entire generation to anime in the early 2000s; DBS keeps it current. Strong figure and apparel sales across age groups — nostalgic adults and younger fans discovering it through gaming, social media, and Super. Goku, Vegeta, and the Saiyan arc are universal touchstones. Limited-edition figures (especially from Bandai and Kotobukiya) move quickly.
*2.2 One Piece*
Series by Eiichiro Oda. The best-selling manga series of all time, with 100+ volumes and a global audience re-energized by the 2023 Netflix live-action adaptation. Fans are intensely dedicated — if a customer is a One Piece fan, they want everything One Piece. Figure market is enormous (Luffy, Zoro, and the full Straw Hat crew). The Netflix adaptation introduced the series to a new wave of fans who may be less familiar with the manga history.
*2.3 Naruto / Naruto Shippuden / Boruto*
Series by Masashi Kishimoto. One of the "big three" shonen series. Massive nostalgia market for the original Naruto and Shippuden among fans in their 20s and 30s who grew up with the show. Boruto continues the storyline with the next generation. Strong apparel and figure market. Naruto characters (Naruto, Sasuke, Kakashi) are among the most recognizable in anime globally.
*2.4 Demon Slayer (Kimetsu no Yaiba)*
Series by Koyoharu Gotoge. Explosive franchise growth since the 2019 anime adaptation. Visually striking character designs make for excellent merchandise — Tanjiro's checkered haori and Nezuko's bamboo muzzle are immediately recognizable. Rengoku (Flame Hashira) became a massive merch driver after the Mugen Train arc. Very popular with younger fans and new anime viewers — often a gateway series. Among the fastest-moving merchandise in the store.
*2.5 My Hero Academia (MHA)*
Series by Kōhei Horikoshi. A superhero-meets-anime mashup that built one of the largest fanbases in anime's recent history. All Might and Deku are the core entry points; Bakugo, Todoroki, and the full Class 1-A have strong followings. Huge figure, apparel, and accessories market. Massive teen and young adult audience. The series has concluded, which may prompt a wave of customers wanting to collect completed series manga.
*2.6 Jujutsu Kaisen (JJK)*
Series by Gege Akutami. One of the fastest-growing franchises in anime/manga. Gojo Satoru is arguably the most culturally iconic character in contemporary anime (his infinity technique and blindfold are instantly recognizable). Strong and growing merch demand for Gojo, Yuji, Megumi, and Nobara. The manga has concluded as of 2024, which drives completionist collecting. Excellent figure and apparel sales.
*2.7 Attack on Titan (Shingeki no Kyojin / AoT)*
Series by Hajime Isayama. A landmark in modern anime; the series concluded in 2023. Still one of the most globally recognized anime properties despite having ended. Eren, Levi, and Mikasa are perennial top sellers in figures and apparel. Staff should be aware that some customers have strong opinions about the ending — stay neutral and don't spoil. The completed status of the series drives collectors to complete their manga sets.
*2.8 Studio Ghibli*
Animation studio founded by Hayao Miyazaki. Beloved across generations and by many people who don't identify as anime fans. The most accessible entry point for non-anime customers. Key properties: My Neighbor Totoro, Spirited Away (Academy Award winner), Princess Mononoke, Howl's Moving Castle, Kiki's Delivery Service. Ghibli vinyl soundtracks (Joe Hisaishi) are some of the best-sellers in the store. Totoro plush and Spirited Away items are reliable gift purchases year-round. Staff should be able to name the main Ghibli titles and their most popular characters.
*2.9 Pokémon*
Nintendo / Game Freak / The Pokémon Company. The broadest audience of any property in the store — from young children to adult collectors. Trading cards, figures, accessories, and apparel. Pikachu is the universal entry point. For TCG customers: distinguish between casual collectors (looking for their favorite Pokémon's card) and competitive players (looking for meta staples, full-art cards, or tournament staples); the advice differs significantly. Pokémon booster packs are safe gift recommendations for virtually any age group. Staff should be aware of current set releases.
*2.10 Yu-Gi-Oh!*
Series by Kazuki Takahashi. A dedicated card game community with strong nostalgia for the original series (Yugi Muto and the Duel Monsters era). The franchise continues with newer series and a highly active competitive card game. Customers often know exactly what they want — specific cards, specific packs, or specific structure decks. For new customers, the classic nostalgia angle (Dark Magician, Blue-Eyes White Dragon) is usually the easiest entry point. Structure decks are good starter recommendations for new players.
**Section 3 — Making Recommendations**
- Ask before recommending: "What do you watch?" or "Who's your favorite character?" are better opening questions than pointing someone to a shelf. Learn what they love before suggesting anything.
- New anime fans: start with accessible, visually striking series — Demon Slayer, My Hero Academia, or (for non-anime-familiar customers) Studio Ghibli. Avoid recommending 500+ episode ongoing series to beginners.
- Experienced fans: ask what they already have and what they're looking for — they often have a specific want in mind. Don't over-explain things they know.
- Cross-selling suggestions:
- Figure + matching keychain or pin of the same character
- Manga Vol. 1 + apparel from the same series (especially for new fans starting a series)
- Trading card booster pack + deck box and sleeves
- Vinyl soundtrack + matching poster or wall scroll
- New release awareness: stay current on upcoming anime seasons and new product drops. The Store Manager provides weekly updates. A customer mentioning a new season is often looking for related product — know what's coming.
- The consignment section as a conversation starter: when customers notice the local creator section, engage them on it. It differentiates Otaku Haven from big-box retail and is a genuine community story.
**Section 4 — Collector and High-Value Items**
- Scale figures: these are premium items ranging from approximately $80 to $400+ depending on scale, manufacturer, and edition. Be honest about quality and price point. Encourage pre-orders for upcoming limited releases — once a limited figure sells out, restocks are rare. Know the difference between an opened (display) figure and a mint-in-box figure — condition matters to collectors.
- Limited edition items: explain why limited editions are limited (small production runs, manufacturer decision). Do not make promises about future availability. If someone is on the fence, let them know honestly that if it's a popular character, it may not be available later.
- Trading card value awareness: individual cards — especially Pokémon and Yu-Gi-Oh! — can be worth hundreds of dollars. Do not open any sealed product that a customer brings in. If a customer asks about the value of their cards, do not appraise them — refer to the Store Manager. Do not discuss specific card prices with customers in ways that could create liability. For grading inquiries, mention grading services (PSA, Beckett) and refer to the Store Manager.
- Handling merchandise: encourage customers to handle items carefully; offer to assist with display cases, opening packaging on display items, or removing security tags at the register.
**Acceptance Criteria:**
1. Guide includes an Introduction section explaining its purpose and tone.
2. Section 1 covers all 8 product categories: Figures & Statues, Manga & Light Novels, Apparel, Accessories, Home & Lifestyle, Trading Cards, Media, Consignment/Local Creator. Each category has its own sub-section.
3. Section 2 covers all 10 franchises: Dragon Ball, One Piece, Naruto/Boruto, Demon Slayer, My Hero Academia, Jujutsu Kaisen, Attack on Titan, Studio Ghibli, Pokémon, Yu-Gi-Oh!. Each franchise has its own sub-section.
4. Section 3 (Making Recommendations) covers: asking before recommending, handling new vs. experienced fans, cross-selling examples, and new release awareness.
5. Section 4 (Collector and High-Value Items) covers: scale figures, limited editions, trading card value awareness, and merchandise handling.
6. Consignment section includes both how to explain it to customers and how to redirect interested creators to the Store Manager.
7. Tone throughout is practical, approachable, and specific to Otaku Haven's context — not generic corporate training language.
8. File is produced as .docx at `Business Plan/03-HR/Anime-Product-Knowledge-Guide.docx`.
